SAP Business One 9.0 supports authorization and form settings required to establish authentication so that users are able to access only data which are required without affecting the functionalities.
Why is Authorization required. ?
- The purpose of authorization is nothing but secure access to the users.
- Small tasks like view, create or update documents that has been assigned to the users can be executed.
- The protocols are applicable to a single user or can be copied from one user to another.
Authentications can be constructed like this
Administration > System Initialization > Authorizations.
Select a user, Expand the Subject / Module, Select the screen / function and Select either Full or No Authorization or Read Only.

In order to copy one user’s permission to another :
- Select the user to copy by selecting the user and holding the mouse key until a rectangle appears.
- Copying is completed by dragging the rectangle to the target user and releasing the mouse.
- You will get a pop up message in order to confirm the Authentications.
- After the whole process is completed, you can press Ok
Now coming to users…
Users can be categorized as users and super users. Users are those who cannot provide authentications to other users but super users are those who have privilege to administer and maintain the entire process.
How is form settings useful.?
- Form settings grants the users to define the modules and menu options as per their requirement.
- It also allows to remove irrelevant fields.
The procedure follows like this-
- Form Settings or from the top menu bar, from the Form Settings button.
- Check or uncheck the visible checkbox to add or remove a particular screen from a user’s display.

Form setting allows the user to organize the fields and rows for windows which are already operating.
The procedure follows like this-
- Form Settings or from the top menu bar, from the Form Settings button.
- To add or remove field select Table Format and check Visible.
- To move a field, simply press and hold the mouse key, then drag that field to the position desired.

Overall we can say that Authentication and Form settings are extremely user- friendly. Super users can implement security access to all the users who accesses and modifies the data. Whereas users are just allowed to construct their own environment explicitly as per their requirement.
